Data controller and contact

Contact form
We process your name, email address, inquiry topic and message, together with your company name and phone number if you provide them. We use this information to handle your inquiry and discuss terms of cooperation. The legal basis is taking steps at your request before entering into a contract (Article 6(1)(b) GDPR). For general correspondence or contact from a company representative, it is our legitimate interest in conducting business correspondence (Article 6(1)(f) GDPR).
Providing data is voluntary, but we cannot accept the form without the required fields. You can also contact us directly by email. Do not enter passwords, payment details or sensitive information in the form.
One-time Saphan Studio notification
At your request, we store the details you provide in the form to confirm your email address and send one product availability notification. The legal basis is your consent (Article 6(1)(a) GDPR). Confirmation requires clicking the button on the page opened from the email; the link is valid for 24 hours. Registration is not an order and does not include a newsletter subscription.
You can withdraw consent free of charge using the unsubscribe link in the email or by writing to us. This does not affect the lawfulness of processing before withdrawal.
Security and retention
We retain inquiry data for as long as needed to handle the matter. If we work together, necessary correspondence becomes part of the contract records. Selected data may be needed to establish, exercise or defend legal claims until the applicable limitation period expires, based on our legitimate interest (Article 6(1)(f) GDPR). Documents subject to a legal retention requirement are kept for the period required by law (Article 6(1)(c) GDPR).
Notification registration data is retained until the notification is sent, consent is withdrawn or preparations to make the product available end. Unconfirmed registrations do not authorize us to send the notification. Once the purpose no longer applies, we delete unnecessary data. A limited record of consent, withdrawal or sending may be retained where necessary to demonstrate proper handling or defend claims.
The server and infrastructure providers process technical data, such as IP addresses, request times and error information, to keep the service running and prevent abuse. The application uses a hash of the client address to limit submissions; old counters are removed as subsequent requests are handled. Provider logs and backups have their own retention cycles. Backup data is not used for ongoing correspondence; if restored, deletion requests must be applied again.
Service providers and data recipients
We use Hostinger to host the website and send form notifications, and Microsoft 365 for business email. These providers and their authorized subcontractors may process data as needed to deliver their services. Access may also be granted to people authorized by the controller and entities entitled to it by law. We do not sell contact data.
The selected web server location is Lithuania. This does not mean that all support operations and provider services take place exclusively within the EEA. Transfers outside the EEA are subject to appropriate legal mechanisms, particularly adequacy decisions or standard contractual clauses under the providers' terms. You may ask the controller for information about these safeguards and how to obtain a copy.
Cookies, browser storage and media
We do not use analytics or advertising tools. Privacy preferences are stored in localStorage as ipp_privacy_v1 for 180 days. Your selected theme is stored as ipp_theme_v1 until you change it or clear site data. Forms use the essential __Host-ipp_session session cookie to secure requests; it expires when the browser session ends. Fonts and images are served from our own hosting.
The YouTube player loads only after you click “Load video”. Google/YouTube then receives information including your IP address and browser details and may process data under its own privacy policy. You can use the rest of the page without loading the player.
License purchases
Purchases will take place in the vendor's external store. Our website does not accept payments or card details. After you open the store, data is processed under the information provided by its operator. Signing up for a notification does not send your form data to the store.
Your rights
Within the scope provided by the GDPR, you may request access, rectification, erasure or restriction of processing, and data portability where applicable. You may object to processing based on legitimate interests and withdraw consent. We do not make solely automated decisions that produce legal effects concerning you, or use your data for marketing profiling.
If you believe the processing infringes data protection rules, you may lodge a complaint with the President of the Polish Personal Data Protection Office. Before fulfilling a request, we may need proportionate confirmation of your identity.
Test version
The preview on the temporary Hostinger domain is for testing. Use fictional data there. While a form displays a preview-mode notice, submissions go to the test database and do not trigger an email.
